Help & Guide

Everything you need to get set up and get the most out of EntrepreJee — from creating your account to every feature in the sidebar.

Getting started

Three steps and you're sending invoices.

Create your account
Set up your business
You're in
  1. 1

    Create your account

Go to Sign up, enter your email and choose a password. We'll email you a confirmation link — click it to activate your account.

  2. 2

    Set up your business

After confirming your email, you'll land on the setup page. Enter your business name, country, VAT/business ID, preferred currency, and language — these appear on every invoice and quote you send.

  3. 3

    You're in

You'll land on your Dashboard. The sidebar gives you access to every part of the app: Customers, Invoicing, Quotes, Work Orders, Products, Time Tracking, Projects, Expenses, Reports, Documents, and Settings.

Free to start — no credit card required. Invoicing, customers, products, and time tracking are free to try right away; upgrade later from Settings → Plan & billing when you need projects, reports, team access, or more room to grow.

Dashboard

Your home base. At a glance you'll see the state of your business, without jumping between modules to piece it together.

  • Invoice overview — outstanding, overdue, and paid totals
  • Revenue vs. expenses trend for the current period
  • Upcoming invoices and due dates, so nothing slips through
  • Active projects and recent time entries
  • A live activity feed of what changed recently across the app

Customers

A simple address book of everyone you bill. Store contact details, billing address, and notes, then attach a customer to invoices, quotes, and work orders in a couple of clicks.

  • Add, edit, search, and delete customers
  • Attach a customer to any invoice, quote, or work order
  • See a customer's invoice and quote history from their profile page
Free plan: up to 5 customers. Starter, Pro, and Pay-per-use: unlimited.View plans

Products & Services

A catalog of everything you sell — physical products or billable services — with a default price and VAT rate, so building an invoice is picking items instead of retyping them.

  • Add, edit, search, and delete products and services
  • Set a default price and VAT rate per item
  • Pull items straight into invoices, quotes, and work orders
Free plan: up to 5 products/services. Starter, Pro, and Pay-per-use: unlimited.View plans

Invoices

Create professional invoices, send them by email, and track their status from draft to paid. Every invoice can also be shared with your customer through a link that needs no account on their end.

Draft
Sent
Paid
  • Build an invoice from your customers and products, or add one-off lines
  • Send an invoice by email straight from the app
  • Copy a shareable portal link so a customer can view it without logging in
  • Pull billable time entries from Time Tracking directly onto an invoice
  • View or download a PDF version
Free plan: up to 2 invoices per month. Starter and Pro: unlimited. Pay-per-use: 3€ per invoice sent, or a 5-invoice pack for 9.99€ — falls back to Free limits if your credits run out. The client portal link is a Pro-plan feature.View plans

Quotes

Send a quote before the work is agreed. Once your customer accepts, convert it into an invoice in one click — no need to re-enter anything.

Draft
Sent
Accepted
Invoices
  • Build a quote the same way you build an invoice
  • Send by email or share a portal link for the customer to accept or decline
  • Convert an accepted quote into an invoice in one click — line items and customer come along automatically
On the Pro plan, accepting a quote also creates a Work Order automatically, so you can track the job before invoicing. The client portal link is also a Pro-plan feature.View plans

Work Orders

For businesses that schedule work before billing it: track a job from new to in progress to completed, optionally link it to a project, then turn it into an invoice once the work is done.

New
In progress
Completed
  • Link a work order to a project to keep related work together
  • Convert a completed work order straight into an invoice
Requires the Pro plan.View plans

Time Tracking

Log hours against a project or customer, either with a running timer or by entering time manually, then pull that time straight onto an invoice for billing.

  • Start and stop a live timer, or log time manually for a specific day
  • A weekly calendar view of everything you've logged
  • Add tracked time directly to an invoice as billable line items

Projects

Group related work — tasks, time, documents, and activity — under one project, with a kanban board to track progress at a glance.

  • Create a project and break it into tasks
  • Track tasks on a kanban board or as a list, and see "My Tasks" across all projects
  • A running activity feed of everything that happened on the project
  • Link relevant documents to a project so paperwork stays with the work
Requires Starter, Pro, or Pay-per-use — not included on the Free plan. Pay-per-use is capped at 2 active projects, Starter at 10, and Pro is unlimited.View plans

Expenses

Record what your business spends, categorized for reporting, so your profit-and-loss and VAT numbers reflect the full picture — not just what you invoice out.

  • Add, edit, search, and delete expenses
  • Organize by category for cleaner reporting

Reports

See how the business is actually doing: profit & loss over a period, and a VAT summary you can hand straight to your accountant.

  • Profit & loss for any period you pick
  • VAT summary for your tax filing
  • Export your VAT report as CSV
Requires Starter, Pro, or Pay-per-use — not included on the Free plan.View plans

Documents

A place for the paperwork around your business — contracts, terms and conditions, everyday templates — organized by category, with starter templates you can fill in and export.

  • Create a document from a starter template, or upload your own
  • Rename, move between categories, archive, or delete
  • Preview and export
Free plan: view-only. Starter, Pro, and Pay-per-use: full edit access.View plans

Client Portal

Every invoice and quote can be shared as a private link your customer opens in their own browser — no account, login, or app download needed on their end.

  • Copy a portal link from any invoice or quote's action menu
  • Your customer sees a clean, read-only view of the invoice or quote
  • Quotes can be accepted or declined right from the portal

Settings

Everything about your business account lives here, organized into tabs: your business profile, invoice branding, password, plan, team, and notifications.

Business profile

Business name, country, VAT/business ID, currency, and language — the details that appear on your invoices and quotes.

Branding

Add a logo and choose colors so your invoices and quotes look like your business, not a generic template.

Requires the Pro or Pay-per-use plan.View plans

Change your password.

Plan & billing

See your current plan, remaining Pay-per-use credits if applicable, and switch plans at any time.

Team

Invite teammates to work in your business account alongside you, with owner, user, and viewer roles.

Notifications

Connect a Slack Incoming Webhook to get a message whenever an invoice is marked paid or a quote is accepted.

Language & appearance

EntrepreJee is available in English and Finnish, and follows your system's light/dark preference if you'd rather not choose.

  • Switch language any time from the globe icon — it's remembered on your account, including on invoices and the client portal
  • Switch between light, dark, or system theme from the sun/moon icon

Frequently asked questions

Do I need a credit card to sign up?

No — every plan starts free, and you only add payment details if and when you choose to switch to a paid plan.

What happens if I hit the Free plan's limits?

You'll be prompted to upgrade before the action that would exceed the limit — for example, sending a 3rd invoice in the same month. Nothing you've already created is deleted or hidden.

Can my customers use the app?

They don't need an account — send them a portal link from an invoice or quote and they can view it (and for quotes, accept or decline it) directly in their browser.

Can I invite other people to help run my business?

Yes, from Settings → Team, on the Pro plan.

How do I switch plans?

From Settings → Plan & billing, or the Pricing page — changes apply immediately.

Is my data private?

Yes — your data belongs to your business account and isn't visible to other businesses using EntrepreJee.

Changelog

What's changed in EntrepreJee recently, newest first.

2026-08-06

  • Added "Continue with Google" and "Continue with Microsoft" to login and sign-up, alongside email/password.
  • Added two-factor authentication (Settings → Account): scan a QR code with an authenticator app, and save the one-time recovery codes in case you lose access to it.
  • Added a Security page (linked from the footer) describing how your data is protected, and a Roadmap page showing what's coming next.
  • Added a VAT return assistant to Reports (Pro plan): a box-by-box summary of your domestic VAT figures, ready for manual entry into OmaVero.
  • Fixed receipt photo capture on Android (Expenses): "Add receipt" is now two buttons, "Take photo" and "Choose from library", instead of one that lost its camera option on recent Android versions.
  • Pricing page now lists the VAT return assistant and custom branding among Pro's features.

2026-08-05

  • Settings is now organized into tabs (Business, Account & Billing, Team, Notifications, Data) instead of one long page.
  • Added Slack notifications: connect an Incoming Webhook in Settings → Notifications to get a message when an invoice is marked paid or a quote is accepted.
  • Added annual billing for Starter and Pro — 15% off compared to paying monthly, switchable from a toggle on the Pricing page.
  • Added a footer to the landing page, pricing page, and sign-up/login screens with a support contact, a Help link, and links to every legal document.
  • Data export (Settings) now also includes a receipt image for every expense that has one, alongside the existing invoice/quote PDFs and CSV files.
  • Pro plan team seats (beyond the first, included member) are now billed for real through Stripe when a teammate accepts an invite or is removed, instead of just being shown as an estimate.

2026-08-04

  • Added a Cashflow forecast card to the Dashboard: expected inflow from already-sent invoices, broken down by overdue and by 30/60/90-day windows.
  • Starter, Pro, and Pay-per-use invoices now get one automatic reminder email to the customer if payment is still missing 3 days after the due date.
  • The client portal (sharing an invoice or quote link with a customer) is now a Pro-plan feature.
  • The bank payment barcode on an invoice (and its PDF) now also shows the barcode's number as copyable text, for typing it into a banking app that can't scan.
  • Added the invoice payment barcode to the customer-facing portal page — it previously only appeared on the internal invoice view and PDF.
  • Every Stripe charge for your own EntrepreJee plan or credit pack now automatically books as an Expense, so it shows up in your own records without manual entry.
  • Settings now shows a warning, with a link to update your payment method, if your last subscription payment failed.
  • Starter and Pro plan subscriptions, and Pay-per-use invoice-credit packs, are now billed for real through Stripe — Settings shows your renewal date and lets you manage or cancel your subscription.
  • Added a notice to the landing page: this is a development build, and all accounts and data will be deleted on August 31.
  • Sign-up now requires agreeing to the Terms of Service and Privacy Policy, and both are published at /terms and /privacy (along with the Cookie Policy, Data Processing Agreement, and Acceptable Use Policy).
  • Added login/access event logging for security: every sign-in is now recorded (IP address, device, timestamp), visible only to the business owner, and automatically deleted after 60 days.
  • Business profile now has a VAT filing period field (Settings), laying the groundwork for an upcoming VAT/ALV return assistant.
  • Data export (Settings) now also includes a CSV file for every data table (customers, products, time entries, and more), not just invoice/quote PDFs.
  • Added data export: business owners can download every invoice and quote as PDF, bundled into a zip file, from Settings.

2026-08-03

  • Team access is now a Pro-only feature (previously also available on Pay-per-use).
  • Added this changelog to the Help page.
  • Fixed outdated Help page copy: quotes no longer claim to convert straight into an invoice (Pro plan creates a Work Order first), and the "explore every feature for free" claim was corrected since Team access, Projects, Reports, and more are paid-plan features.
  • Added a public Help & Guide page, available without logging in.
  • Added Project Management: tasks, a kanban board, comments, and a project activity feed.
  • Added Team access: invite teammates with owner, user, or viewer roles (Pro plan).
  • Added Work Orders: track a job from an accepted quote through to invoice (Pro plan).
  • Tightened plan limits across the Free, Starter, and Pay-per-use tiers.
  • Added a daily reminder email to the business owner for invoices that are due or overdue.
  • Closed remaining gaps in invoice/quote email sending, and added invoice/quote branding (logo, brand color, footer text).

2026-08-02

  • Added receipt image upload for expenses.
  • Fixed dialogs occasionally getting stuck open instead of closing.

2026-08-01

  • Added the ability to attach existing Documents to an invoice or quote sent to a customer.

2026-07-31

  • Added the Finnish bank payment barcode (virtuaaliviivakoodi) to invoices.
  • Added Pay-per-use invoice credits.

2026-07-27

  • Added the dashboard "safe to spend" widget.
  • Added invoice payment reference numbers and bank account details.
